Creating a Contact

To understand the rules for building Contacts in the Customer Management Module, see the Rules for Leads, Contacts, and Companies page.

There are three ways to create a new contact in the Customer Management Module.

  • Method 1: Creating a contact from the Plus button

    • From any listing or detail page, click on the Plus button.
    • Click on “Create Contact”.
    • Complete the fields on screen with the information about the contact. You must include the contact’s email address in order for it to be unique.
    • Please note: If you want to associate the contact with an existing company in RLM, begin typing in the “Company” field and from the search results, select the company with which you want the contact to be associated.
    • When you’ve entered all of the information you have about the contact, click the “Save” button.
    • Please note: If there’s already an existing contact with the same first name, last name, and email address as the contact you’ve created, you will receive this error message: “Unable to create Contact.” and the contact will not be created.
    • The contact will now appear on the Contact Listing Page.
  • Method 2: Creating a contact from a lead
    • The Customer Management Module gives you the ability to automatically create a contact from a lead.
    • From any listing or detail page, click on the Plus button.
    • Select the pipeline in which you want to create the lead.
    • If you want to associate the lead you’re creating with an existing company in the RLM system, begin typing in the “Company” field and from the search results select the company.
    • To check if the contact already exists, begin typing in either the “First Name”, “Last Name”, or “Email” field. If the contact exists, it will appear in the search results – you may select the existing contact and continue creating the lead.
    • If the contact does not already exist in the system, you should proceed with creating the lead in the following manner:
      • In the First and Last Name fields, enter the first and last name of the contact. Please note that you must also include the contact’s email address in order for it to be unique.
      • Enter the rest of the information you have about your lead.
      • Once you’ve finished, click on the “Create Lead” button.
    • The contact will now appear on the Contacts Listing Page. It will also appear on the Contacts Tab of the company with which it is associated, if applicable.
    • Please note: A duplicate contact may be created when using this method.
  • Method 3: Creating a contact from a company
    • From the Global Navigation Menu, click “Customer Management” and navigate to the Companies Listing Page. Click on the name of the company from which you’d like to create your contact.
    • From that Company’s Detail Page’s Quick Actions Menu, select “Create Contact from Company”.
    • A Contact Detail Page will appear and the company field will display the name of the company from which you want to create the contact. Complete the rest of the information for your contact and make sure to include the email address if you want the contact to be unique.
    • When you’re finished, click on the “Save” button.
    • Please note: If there’s already an existing contact with the same first name, last name, and email address as the contact you’ve created, you will receive this error message: “Unable to create Contact.” and the contact will not be created.
    • The contact will appear on the Contacts Tab of the company with which it is associated. It will also appear on the Contact Listing Page.
